Terms of service

Last updated: 18 October 2026 · Data processing agreement · Privacy notice

1. About these terms

1.1 These terms are between you and Fieldcompass.org, an NGO based in Paris, France ("we"). They apply to the Field Compass service at app.fieldcompass.org.

1.2 You accept them by creating an account. If you use Field Compass for an organisation, you accept them for that organisation and confirm you may do so; "you" then also means the organisation.

1.3 For the survey data your organisation brings into Field Compass, our data processing agreement is part of these terms. Our privacy notice explains how we handle the data of the people who use Field Compass.

2. Your account

2.1 Field Compass is for professional use. You must be at least 18.

2.2 Give accurate details, keep your password to yourself, and tell us at support@fieldcompass.org at once if you think someone else has used your account.

2.3 You are responsible for what happens under your account, including who you share surveys with and in which role.

3. The service

3.1 Field Compass reads your KoboToolbox projects with the API token you give it, runs quality checks, and shows the results to the people you share each survey with. It can also review open-text answers, transcribe recordings and translate answers with AI.

3.2 Field Compass is free of charge. Each account gets a monthly AI allowance, shared by all its surveys. We set the size of the allowance and may change it.

3.3 You can connect your own AI provider instead of using the allowance. That provider then works under your own contract with it, and its costs are yours.

3.4 We may change, add or remove features. Before we remove one you rely on, or stop the service, we tell you at least 60 days in advance.

4. Your data

4.1 Your survey data stays yours. You let us process it only to provide Field Compass to you, as the data processing agreement sets out.

4.2 You remain responsible for collecting it lawfully. That means a legal basis for each survey, the consent or information your respondents need, and any approval your organisation, funder or ethics board requires. Your information to respondents should say that a service like Field Compass may process their answers and, if you use the AI allowance, that answers or recordings may be sent to AI providers outside the EU.

4.3 Connect only projects whose data you may share with a service like Field Compass.

4.4 KoboToolbox holds your copy of the data. Field Compass is not a backup of it.

4.5 We store your KoboToolbox API token encrypted, and use it only to read your projects and, when you ask, to write review decisions, transcripts and translations back. You can remove it at any time in Account settings.

5. AI features

5.1 AI reviews, transcripts and translations can be wrong. They help your reviewers; they don't decide. Check them before you act on them.

5.2 Only the questions you pick are sent for AI review. You decide whether recordings are transcribed and answers translated.

5.3 We don't use your data to train AI models, and neither do the AI providers we use.

6. Acceptable use

6.1 Don't:

  • open or try to open accounts or data you haven't been given access to;
  • test or attack the service's security without our written permission (please report weaknesses to support@fieldcompass.org);
  • overload the service, or get round the AI allowance, for example with several accounts;
  • use Field Compass for data collected unlawfully, or to track or identify respondents beyond what your survey needs;
  • use it to break the law or KoboToolbox's terms.

7. Availability and support

7.1 We run Field Compass with care, but can't promise it is always available or free of errors. It runs on one server with nightly backups, so an outage can last until that server is restored.

7.2 Support is by email, at support@fieldcompass.org, as far as we are able.

8. Open-source code

8.1 Field Compass's code is open source under the MIT licence. That licence covers the code; these terms cover the service we run at app.fieldcompass.org. If you run your own copy, these terms don't apply to it, and you are responsible for the data in it.

9. Ending your use

9.1 You can stop at any time by deleting your account in Account settings. That deletes the surveys you own and all their data.

9.2 We may suspend or close an account that breaks these terms or puts the service or other users at risk. Except in an emergency, we warn you first and give you time to put it right.

9.3 If we stop the service, we tell you at least 60 days ahead, then delete all data as the data processing agreement says.

10. Liability

10.1 Field Compass is provided free of charge and as it is.

10.2 We are not liable for indirect losses, such as lost time, lost funding, or data you can recover from KoboToolbox. Nor are we liable for decisions taken on an AI output that was not checked.

10.3 Our total liability to you is limited to the amount you paid us in the 12 months before the claim. While Field Compass is free, that is €0.

10.4 Nothing in these terms limits liability that the law does not allow to be limited, such as for gross negligence, wilful misconduct, or death or personal injury.

11. Changes to these terms

11.1 We may change these terms. We tell account holders about important changes in the app or by email at least 30 days before they apply. If you don't agree, you can delete your account before then.

12. Law and courts

12.1 French law applies. The courts of Paris decide any dispute, unless mandatory rules say otherwise.

13. Contact

13.1 For anything about these terms or your account, write to support@fieldcompass.org. For anything about your personal data, write to privacy@fieldcompass.org.
